Understanding Inventory Records #

Inventory records track individual products across all locations, maintaining quantity levels, costs, and movement history.


Inventory Record Components #

Product Information

  • Link to product master
  • Description and specifications
  • Unit of measure
  • Category classification

Quantity Data

  • Quantity on hand
  • Available quantity
  • Reserved quantity
  • On order quantity

Creating Inventory Records #

Step 1: Access Inventory Management #

  1. Navigate to Inventory tab
  2. Click New Inventory Record

Step 2: Basic Inventory Setup #

Create record for common part:

Product Selection

  • Product: 3 Ton Capacitor
  • Product Code: CAP-3T-370
  • Description: Auto-populated from product
  • Category: HVAC Components

Location Assignment

  • Inventory Location: Central Warehouse Chicago
  • Zone: A-15
  • Bin: A-15-03
  • Status: Active

Step 3: Quantity Configuration #

Set initial quantities:

Stock Levels

  • Quantity On Hand: 0 (will add via inventory log)
  • Minimum Quantity: 10
  • Maximum Quantity: 50

Step 5: Add Initial Inventory #

Use Inventory Log to add stock:

Creating Inventory Log Entry

  1. From Inventory record, click New Inventory Log
  2. Enter details:
    • Type: Replenished
    • Quantity: 25 
    • Reference: PO-2024-1234
    • Notes: Initial stock

This updates Quantity On Hand automatically.


Step 6: Create Trunk Stock Records #

For mobile inventory:

Trunk Stock Setup

  • Product: Same capacitor
  • Location: Van-1234-Trunk
  • Quantity On Hand: 0
  • Min Quantity: 2
  • Max Quantity: 5

Replenishment Rules

  • Replenish From: North Region Depot
  • Replenish When: Below minimum
  • Standard Transfer: 3 units
